Lists
Lists are where your Tasks live. Every List holds its own Tasks, and you switch between your Lists from the sidebar.
Private and Cowork
ListoWP splits Lists into two sections:
- Private lists are yours alone. Only you see them and the Tasks inside.
- Cowork lists are shared with other members of your website, so you can work on the same Tasks together.
To bring other people into a Cowork list, share it and manage who belongs – see "Sharing & members" for how that works. A Private list can also be moved to Cowork from the Options menu in its header. That move is permanent: a List can be shared, but never unshared.
Your site may not show both sections. The admin can turn Private or Cowork off, which removes that section everywhere – its sidebar, the section switcher, and its keyboard shortcut. If you only ever see one section, that is why.
The Inbox
Each section has its own Inbox, a personal List that is always there:
- The Private Inbox is a catch-all for Tasks you have not sorted into another List yet.
- The Cowork Inbox is the one List in Cowork that cannot be shared. It stays yours alone – use it to draft Tasks in the Cowork section, then move them to a shared List when they are ready.
The two Inboxes are separate Lists with separate Tasks, so what you capture in the Cowork Inbox never mixes into your Private section.
Moving a Task out of an Inbox is always available: open the Task and change its List there. Filing what you captured is the Inbox’s purpose, so this works even on sites where moving between Lists is turned off. Moves between regular Lists follow your site admin’s setting – allowed in Private, in Cowork, both, or neither – and a move never crosses from Private to Cowork or back.
Creating and using Lists
Create a new List from the sidebar: press New list, type a name, and add it. A new List starts with just its title – the description, color, and icon can all be added afterwards. Open the List to start adding Tasks; the content area shows the Tasks in whichever List you have open.
The List header
Every List opens under a header that carries the List’s icon, title, and description, plus counters for its Open, Closed, and Expired Tasks. The Closed counter doubles as a switch: select it to show or hide the List’s completed Tasks. When you want the room back, collapse the header with the arrow button at its edge.
The header’s Options menu is where you manage the List itself:
- Edit changes the title and description.
- Convert to board or Convert to list switches how the Tasks display – see below.
- Move to Cowork appears on Private lists, as covered above.
- Delete removes the List and its Tasks immediately. This cannot be undone.
On a Cowork list, converting the view and deleting the List are for its Owner.
Color and icon
Each List can carry its own color and icon, which helps you tell your Lists apart at a glance in the sidebar. Click the List’s icon in the header to pick a color, or search the icon library to replace the List’s initials with an icon of your choice. Reset clears a color you no longer want.
List view or board view
A List shows its Tasks one of two ways, and this is a per-List choice:
- As a flat list – a straightforward top-to-bottom list of Tasks.
- As a board – columns you can move Tasks across, with an item count on each column.
You switch with Convert to board or Convert to list in the header’s Options menu. Converting is a deliberate change, not a display toggle: turning a List into a board gathers its Tasks into a single column to start from, while turning a board back into a list flattens the Tasks top to bottom and keeps the columns for later.
Your Private Inbox can also work as a personal board with your own private columns; the Cowork Inbox always stays a flat list. For how columns behave – collapsing them, adding Tasks straight to a column, and more – see "Boards & columns".
Separate from all of this, any List can be viewed as a calendar with the view switch in the toolbar. That is a personal view that changes nothing for anyone else – see the Calendar page.
