Smart Lists

Smart Lists are the automatic views ListoWP builds from the Tasks each person can see. You configure them in wp-admin under ListoWP, on the General tab, in the Smart Lists box. One set of settings governs both sections: each Smart List can be offered in Cowork, in Private, in both, or turned off entirely.

This page covers the admin settings. How Smart Lists behave in the app – what each view collects and how they work in Cowork – is described in "Smart Lists" under Frontend.

The six Smart Lists

The box lists each Smart List under the name your users see in the app, with a short description of what it collects:

  • Expired – all due Tasks
  • Scheduled – all Tasks with a due date
  • Repeating – all repeating Tasks
  • Open – all uncompleted Tasks
  • Closed – all completed Tasks
  • Inbox – Tasks not assigned to a List

The translation engine supplies these names in each user’s own language; renaming is not available.

Availability

Every Smart List except Inbox has an "Available in" select:

Option What it does
Cowork & Private The Smart List appears in both sections (the default)
Private only The Smart List appears only in Private
Cowork only The Smart List appears only in Cowork
Disabled The Smart List is hidden everywhere

If your choice targets a section you have turned off under Sections, the panel shows a small hint next to the setting – that part of the choice has no effect until the section is enabled again.

The Inbox has no "Available in" select: it is always on, in both sections.

Color and icon

Each Smart List has a Color and an Icon. For the five Smart Lists with an "Available in" select, the two pickers are shown as long as the Smart List is not Disabled. The Inbox offers only its color and icon.
