Assignees

Assignees let you hand a Task to the people responsible for it. Assigning works on shared Cowork Lists, where a Task can go to a member of the List – or to several members at once, if your site allows multiple assignees.

Assigning a Task

Open a Task on a shared List and set its Assignees in the Task detail. The picker offers the List’s members, and you can search it by name or username instead of scrolling. You can change the Assignees the same way later – each assignee has their own remove control in the Task detail.

Only members of that List can be assigned, so share the List and manage its members first if the person you want is not yet on it. Owners and Members can set Assignees; Guests cannot change Tasks. A locked Task is frozen, so its Assignees cannot change while the lock is on.

Private Lists and your Private Inbox are personal to you, so they have no Assignees. In your Cowork Inbox you can assign a Task to yourself – and only to yourself, since nobody else can see it – so it is already claimed when you later move it into a shared List.

When you are assigned a Task, you get an on-site notification, and by default also an email with a link to the Task – see "Notifications" under Frontend.

Multiple assignees

Out of the box, a Task takes a single assignee, and assigning someone else simply hands the Task over. If the site admin enables multiple assignees (see "Task features" under Admin), a Task can take up to 10 people. Once a Task is full, ListoWP refuses to add anyone else; remove an assignee first to make room.

If the admin later turns multiple assignees off again, nothing is lost: Tasks that already have several people keep all of them. Only adding more is blocked, and removing Assignees always works.

The Assigned to me filter

In Cowork, the toolbar has an "Assigned to me" toggle next to the view switch. Turn it on and whatever you are looking at narrows to the Tasks assigned to you – it works the same in list, board and calendar views.

It is a personal lens: it never changes the List itself, and the counts in the sidebar deliberately stay team-wide. While the filter is on, the filter strip above the Tasks shows it, and one click on it turns the filter off again.

Where assignee avatars appear

Once a Task has Assignees, their avatars show in two places:

  • On the Task card, in every view. Two assignees show as two avatars; with three or more, you see the first avatar plus a count for the rest. Hover the stack to see every name, and if you are one of the Assignees, your avatar always comes first.
  • In the Task detail, with one row per assignee showing their avatar, name and username.
